Is Your Team Helping or Hurting Your Case Acceptance?


Every practice has patients who show interest in clear aligners.

The real question is:

What happens next?

Many doctors assume that once a patient expresses interest, they’ll naturally move forward with treatment. In reality, that’s where many opportunities are lost—not because patients said “no,” but because the practice didn’t have a consistent process to guide them toward saying “yes.”

Over the years, I’ve found that successful clear aligner practices don’t rely on luck. They rely on systems.

Here are three areas every practice should evaluate:

  1. Identify Every Eligible Patient

Your hygiene team is often the first line of opportunity. Every patient should be screened for potential orthodontic treatment—not just the ones who ask about straightening their teeth.

A simple conversation can uncover needs the patient didn’t even realize they had.

2. Create a Consistent Workflow

What happens after a patient expresses interest?

Is there a clear process that every team member follows?

Whether it’s taking a scan, presenting treatment, scheduling a consultation, or discussing financing, consistency builds confidence—for both your team and your patients.

When every team member understands their role, the patient experience becomes seamless.

3. Don’t Let Interested Patients Slip Away

Not every patient is ready to start treatment on the same day, and that’s okay.

The key is having a follow-up system.

A timely phone call, text message, or email can make all the difference. Many patients simply need a little more information or reassurance before they’re ready to move forward.

Practices that follow up consistently often recover cases that would have otherwise been lost.

Small Changes Create Big Results

Improving case acceptance doesn’t always require major changes.

Sometimes it’s the small adjustments—a better conversation, a more consistent workflow, or a stronger follow-up process—that have the greatest impact.

Take a few minutes this week to evaluate your team’s patient journey. You may discover that a few simple improvements can lead to more confident patients, more accepted cases, and a stronger aligner program.
